3. Booking and Reservations

3.1 Booking Process

To book services through RouteMaster Travel, you must provide accurate and complete information including personal details, payment information, and travel preferences. All bookings are subject to confirmation and availability. We reserve the right to refuse service to anyone for any reason at our sole discretion.

3.2 Payment Terms

Payment for services must be made according to the terms specified in your booking confirmation. We accept various payment methods including credit cards, debit cards, bank transfers, and other approved payment systems. A deposit may be required at the time of booking, with the balance due according to the payment schedule provided. Failure to make timely payments may result in cancellation of your reservation.

3.3 Pricing

All prices are quoted in Canadian Dollars (CAD) unless otherwise specified. Prices are subject to change without notice until full payment is received and confirmed. Quoted prices include services as specifically described in your itinerary. Additional costs such as travel insurance, visa fees, airport taxes, baggage fees, meals not included in the package, and personal expenses are your responsibility unless explicitly stated otherwise.

4. Cancellation and Refund Policy

4.1 Cancellation by Customer

Cancellation requests must be submitted in writing via email to [email protected]. Cancellation fees apply and vary depending on the proximity to departure date, type of service booked, and supplier policies. Generally, cancellation fees are structured as follows:

  • More than 90 days before departure: 10% of total booking value
  • 60-89 days before departure: 25% of total booking value
  • 30-59 days before departure: 50% of total booking value
  • 15-29 days before departure: 75% of total booking value
  • Less than 15 days before departure: 100% of total booking value (no refund)

Please note that certain services including flights, special event tickets, and customized experiences may have stricter cancellation policies imposed by suppliers. These will be communicated at the time of booking.

4.2 Cancellation by RouteMaster Travel

We reserve the right to cancel bookings due to circumstances beyond our control including but not limited to natural disasters, political unrest, health emergencies, supplier bankruptcy, or insufficient participant numbers for group tours. In such cases, we will provide a full refund of amounts paid or offer alternative arrangements of comparable value. We are not liable for any additional expenses incurred by you as a result of such cancellations.

5. Travel Documents and Requirements

You are responsible for ensuring that you possess all necessary travel documents including valid passports, visas, health certificates, vaccination records, and any other documentation required for your destination. Passports must be valid for at least six months beyond your return date. We provide general information and assistance regarding travel requirements, but ultimate responsibility rests with you.

We strongly recommend checking official government sources for current travel requirements. RouteMaster Travel is not responsible for any issues arising from inadequate or invalid travel documentation, including denied boarding or entry to destinations. Costs associated with obtaining travel documents are not included in our service fees unless explicitly stated.

6. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect against unforeseen circumstances including trip cancellations, medical emergencies, lost luggage, flight delays, and other travel-related risks. While we can assist in arranging travel insurance, the decision to purchase insurance and the selection of appropriate coverage is your responsibility.

RouteMaster Travel is not liable for any losses, damages, or expenses that would have been covered by travel insurance had you chosen to purchase it. Insurance claims must be filed directly with the insurance provider according to their terms and conditions.
